An experience letter is a document your employer issues on company letterhead confirming your designation, your employment dates, and your conduct during the period you worked there. Six things this format must contain — if any are missing, background verification will flag it:
- Company letterhead — registered name, address, contact details
- Employee's full name — exactly as it appears on your ID and payslips
- Designation — the title on your appointment letter, not an informal one
- Employment dates — date of joining and last working day, both in full
- Conduct statement — one or two lines confirming satisfactory conduct
- Authorised signature and seal — with the signatory's name and designation

Experience Letter vs Relieving Letter vs Service Certificate
These three get used interchangeably and they are not the same document. Background verification teams treat them differently.
- Experience letter — confirms your role, dates and conduct. This is the one most job applications ask for.

- Service certificate — a shorter confirmation of employment dates only, usually issued by government and PSU employers.
If your next employer asks for "experience proof", they almost always mean the experience letter. If they are running a formal background check, expect them to ask for both the experience letter and the relieving letter.
How to Request an Experience Letter from HR
Most delays happen because the request was verbal. Put it in writing. This email works:

What to Do If Your Employer Refuses
Companies are not legally obliged to issue an experience letter, which is why refusals happen. Work through this in order:
- Clear anything pending — unserved notice, company assets, or dues are the most common reason letters are withheld.
- Escalate in writing — reporting manager first, then HR head. Keep it factual.
- Ask for a service certificate instead — some employers will issue the shorter version even when they refuse the full letter.
- Assemble alternative proof — offer letter, appointment letter, payslips, Form 16, PF passbook and bank statements together satisfy most background checks.
Disclose the situation to your new employer early rather than at offer stage. A candidate who explains a missing document upfront is treated very differently from one whose background check comes back short.
7 Mistakes That Get an Experience Letter Rejected
- Issued on plain paper instead of company letterhead
- Employee name spelled differently from PAN, Aadhaar or payslips
- Designation that does not match the appointment letter
- Missing or incomplete employment dates
- No authorised signatory name below the signature
- No company seal where the employer normally uses one
- Dates that contradict your PF or Form 16 records
That last one causes the most trouble. Background verification agencies cross-check your stated dates against EPFO records. If your letter says one thing and your PF passbook says another, expect questions.
