Job Summary
We are looking for an experienced payroll & compliance specialist to manage end-to-end payroll operations, statutory compliances, taxation, and full & final (F&F) settlements. The ideal candidate should have strong hands-on experience in Indian payroll, statutory filings, payroll taxation, and HRMS systems, along with strong analytical and reconciliation skills.
Key Responsibilities
1. End-to-End Payroll Management
Manage the complete monthly payroll processing cycle for 200+ employees.
Ensure accurate and timely processing of salaries, deductions, reimbursements, and payroll inputs.
Validate payroll inputs and conduct pre- and post-payroll audits/reconciliations.
Coordinate with HR and Finance teams for payroll-related queries and discrepancies.
Maintain accurate payroll records and ensure confidentiality of employee information.
2. Statutory Compliance
Manage PF/EPFO compliance, including ECR preparation, filing, employee onboarding, and exit processes.
Handle ESIC monthly filings and compliance through the respective portals.
Manage Professional Tax (PT) calculations, deductions, and filings across multiple states.
Handle Labor Welfare Fund (LWF) deductions and periodic deposits as applicable.
Ensure timely completion of all statutory payments, filings, and compliance requirements.
3. Payroll Taxation & Form 16
Calculate monthly TDS on salary under Section 192 considering applicable tax provisions.
Handle payroll taxation under both old and new tax regimes.
Manage quarterly Form 24Q preparation and filing.
Coordinate for generation and distribution of Form 16 Part A & Part B.
Review and validate employee investment declarations and proofs.
Address employee queries related to salary taxation and deductions.
4. Full & Final Settlement
Manage end-to-end full & final settlement for exiting employees.
Calculate gratuity, leave encashment, notice pay recovery, and other applicable statutory/non-statutory payouts.
Ensure accurate settlement of employee dues and timely completion of exit payroll processes.
Coordinate with HR and Finance teams for F&F closure.
5. Payroll Systems & Reporting
Work on payroll/HRMS platforms such as Darwinbox, Keka, greytHR, SAP, ZingHR, or similar systems.
Maintain and update employee payroll data in the HRMS.
Use Advanced Excel for payroll processing, data analysis, reconciliation, and audits.
Prepare payroll-related reports and management dashboards as required.
Required Skills & Qualifications
4+ years of hands-on experience in Indian payroll processing.
Strong knowledge of PF, ESIC, PT, LWF, TDS, Form 24Q, and Form 16.
Experience managing payroll for 200+ employees.
Strong understanding of full & final settlement processes.
Proficiency in Advanced Excel, including:
VLOOKUP/XLOOKUP
Pivot Tables
SUMIFS
Data reconciliation and audit checks
