About the Role
We are looking for a detail-oriented and process-driven Executive - Payroll & Compliances to manage day-to-day payroll activities and support statutory compliance while ensuring accuracy, timeliness, and adherence to all applicable regulations. This role will be responsible for managing payroll inputs, processing monthly payroll, supporting statutory filings, maintaining employee records, coordinating with Finance and HR Operations, and ensuring timely closure of payroll and compliance activities. The ideal candidate brings a good understanding of Indian payroll, taxation, statutory requirements, and HRMS systems, along with strong attention to detail and the ability to work in a fast-paced environment.
Key Responsibilities
Payroll Management
Manage and validate monthly payroll inputs including attendance, leave, new joiners, exits, salary revisions, deductions, reimbursements, and variable pay.
Process monthly payroll through HRMS, preferably Keka, ensuring accuracy and timely closure.
Support payroll processing for a large and diverse workforce across blue-collar and white-collar categories.
Prepare and validate salary structures, deductions, reimbursements, and variable pay inputs.
Process full & final settlements for exiting employees and ensure timely closure of payroll-related documentation.
Coordinate with HR Operations to ensure accurate employee lifecycle data including onboarding, confirmations, attendance, leave records, exits, and documentation.
Coordinate with Finance for payroll inputs, deductions, reconciliations, salary disbursement, and payroll-related queries.
Perform payroll checks and reconciliations to identify and resolve discrepancies before payroll closure.
Maintain accurate and confidential employee payroll records in the HRMS.
Support the preparation of HR letters, payroll reports, and other payroll-related documentation.
Compliance & Statutory Requirements
Prepare and maintain data required for monthly and periodic statutory compliances including PF, ESIC, PT, LWF, and TDS.
Support timely statutory filings and ensure required employee and payroll data is accurate and complete.
Maintain statutory registers, employee records, compliance trackers, licenses, and related documentation.
Track statutory deadlines and follow up with relevant stakeholders to ensure timely completion of compliance activities.
Coordinate with external consultants for statutory filings, reconciliations, and compliance requirements.
Support audits, inspections, and queries from consultants, auditors, and regulatory authorities.
Support compliance activities related to Trade Licenses, Shops & Establishments requirements, Fire NOCs, and other applicable registrations.
Stay updated on relevant payroll and statutory changes and highlight any required actions to the Manager.
Reporting & Analytics
Prepare monthly payroll MIS reports and compliance trackers for management review.
Prepare headcount, payroll cost, deductions, and statutory liability reports.
Reconcile payroll data with Finance records and identify discrepancies.
Maintain accurate payroll and compliance dashboards and reports.
Provide payroll data and documentation required for audits and internal reviews.
Identify recurring payroll issues and support improvements in payroll processes and controls.
What You'll Bring
2 to 5 years of experience in payroll, HR operations, and statutory compliance.
Experience in managing day-to-day payroll activities for a large employee population, preferably across blue-collar and white-collar workforce.
Good understanding of Indian payroll practices, income tax, PF, ESIC, PT, LWF, TDS, and other applicable statutory requirements.
Experience working with HRMS or payroll systems, preferably Keka.
Good knowledge of Excel and experience working with payroll reports and reconciliations.
Understanding of salary structures, payroll inputs, full & final settlements, statutory filings, and compliance documentation.
Strong attention to detail, numerical accuracy, and time management.
Good coordination and communication skills with the ability to work closely with HR and Finance teams.
Strong sense of ownership, confidentiality, and process discipline.
