Role Overview We're looking for a detail-driven Documentation Specialist to own process documentation, SOPs, and knowledge repositories across the organization. This role is centered on writing, structuring, and maintaining clear, accurate, and version-controlled documentation that supports operations, technology adoption, and cross-functional teams — with a secondary hand in training content and delivery.
Key Responsibilities Documentation & Knowledge Management
Own the end-to-end creation, structuring, and maintenance of SOPs, process guides, and technical manuals for operations and cross-functional teams. Establish and enforce documentation standards, templates, and style guidelines to ensure consistency, clarity, and accessibility across mixed literacy levels. Act as the central point of contact for version control, document lifecycle management, and knowledge repositories (e.g., Confluence, SharePoint). Translate complex, technical, and operational processes into simple, well-organized written and visual documentation. Audit and refresh existing documentation on a regular cadence to keep content accurate as processes and systems evolve. Process & Learning Needs Analysis Partner with operations leaders and process owners to identify documentation gaps, recurring issues, and priority areas for new SOPs. Create supporting visual aids, process flow diagrams, and modular reference content to accompany written documentation.
Training Support (Secondary)
Support onboarding and training delivery using the documentation library as the primary content backbone.
Required Background
3–6 years of experience in a product-based company, with a strong focus on process documentation, SOP writing, or technical writing. Excellent written communication skills — able to structure and simplify complex information for varied audiences. Strong working proficiency in MS Word and PowerPoint (visual SOPs, process guides) and MS Excel (documentation trackers, version logs). Hands-on experience with knowledge-management or documentation platforms such as Confluence, SharePoint, or similar. Prior exposure to process audits, SOP creation, or compliance documentation. Comfort working in fast-paced, tech-driven environments with tight turnaround times. Preferred Qualifications Certifications or coursework in Technical Writing, Instructional Design, or Documentation Management. Experience with Canva, Articulate, or similar tools for visual and digital documentation. Familiarity with Power BI or Google Sheets/Data Studio for reporting on documentation usage and impact.
