About the roleThe Workplace Concierge is the first point of contact for our business and a key ambassador for the Woolworths Group workplace experience. This role is responsible for creating a welcoming, professional, and supportive environment for all team members, guests, and visitors. Going beyond a traditional reception role, the Workplace Concierge will proactively enhance the daily experience on-site by providing exceptional customer service, managing front-of-house operations seamlessly, and assisting with various workplace services to ensure our support offices are great places to work and visit.

Key ResponsibilitiesGuest & team member experienceDeliver a warm, polished, and professional first impression for all visitors, executives, contractors, and team members.Manage visitor registration, issue security passes, and ensure all visitors are connected with their hosts promptly.Serve as a central point of information, answering queries related to workplace amenities, meeting rooms, local transport, and on-site events.Proactively seek feedback from team members and visitors to identify opportunities for improving the workplace experience.

Front of house operations Maintain a pristine and welcoming reception area, ensuring it reflects the Woolworths Group brand and values.Manage incoming calls and correspondence, directing them to the appropriate person or department efficiently.Oversee the booking and scheduling of meeting rooms and collaborative spaces, ensuring they are well-maintained and equipped for use.Coordinate with cleaning, maintenance, and catering vendors to ensure service delivery standards are met.

Workplace & Administrative SupportProvide administrative support to the Workplace Support team, including managing mail, coordinating couriers, and ordering office supplies.Assist in the coordination of on-site events, meetings, and team functions.Partner with the Facilities Management team (or Corporate Edge) to report and track maintenance and technology issues within the common areas.Support the implementation of new workplace initiatives designed to enhance team member well-being and engagement.

Safety & SecurityAdhere to all workplace health and safety (WHS) procedures, promoting a safe environment for everyone on site.Assist with emergency procedures and building evacuations as required.Ensure security protocols are followed for visitor access and deliveries.

Daily Office OperationsWelcoming Concierge & Visitor Management: Oversee reception, front-of-house hospitality, and visitor management systems, ensuring VIP guests, partners, and team members receive a polished, seamless welcome.Onboarding & Employee Experience: Partner with People & Culture and IT to execute a frictionless first-day workplace orientation, desk setup, and facility access experience for all new hires.

Experience Relevant Track Record: 4+ years of progressive experience in Workplace Operations, Corporate Office Management, Hospitality, or Customer Experience leadership within a fast-paced corporate or multinational enterprise.Matrix & Global Environment: Experience operating in global capability centers (GCCs) or matrixed organizations, collaborating across different geographies and time zones.Tech-Savvy Operations: Familiarity with modern workplace tools (e.g., Google Workspace, desk/room reservation software, visitor management systems, ServiceNow, or enterprise FM systems like Maximo).
