About the Role :The Legal Operations Specialist supports the day-to-day operations of the Legal Department, with ownership across legal financial operations, CLM administration, matter records, operational documentation, and Legal intake. The role partners with Legal, Finance/AP, Business Operations, outside counsel, and CLM vendor support to keep Legal Operations accurate, organized, scalable, and efficient.

This is an execution-focused role with meaningful ownership.The Specialist follows established processes, manages assigned workflows independently, and suggests practical improvements when better ways of working are identified.

What You'll Do

Legal Technology, CLM, and SystemsManage the CLM, including users, permissions, configuration, and supportCreate, test, publish, and maintain CLM templates and workflowsTrain users and maintain documentation for Legal tools and workflows

Operational Support and Process ExecutionTriage shared Legal inboxes, archiving non-legal items and escalating legal mattersSupport Legal and business users with operational questions and system issuesExecute Head of Legal Operations priorities and support department initiativesSuggest practical improvements to increase efficiency, accuracy, or automation

Legal Financial OperationsOwn invoice review, billing guideline compliance, and NetSuite payment submissionReject or return incorrect invoices and resolve billing issues with outside counselManage purchase orders under established rules and onboard Legal vendors in NetSuiteMaintain outside counsel, spend reporting, and quarterly forecasts

Matter, Knowledge, and Documentation ManagementMaintain matter records, metadata, required documents, and cleanup effortsCreate and maintain SOPs, playbooks, Runbooks, and operational documentation

What we need Experience with legal operations, invoice review, billing, or vendor management processesExperience with CLM, ERP, knowledge management, collaboration, or AI productivity toolsFamiliarity with SpotDraft, NetSuite, Google Workspace, GC.ai, Notion, Confluence, or similar tools preferred but not requiredProcess-oriented: follows, improves, and documents repeatable workflowsDetail-driven: catches errors before they become operational or financial issuesSystems-minded: learns and supports business technology platforms quicklyService-oriented: provides practical, responsive support to usersAI-curious: uses technology to work more efficientlyReliable executor: follows through and keeps operational data current
