Role Summary
The Junior Facility Administrator supports day-to-day facility operations across Printo's multi-location retail store network. The role is responsible for logging and tracking facility tickets, coordinating vendor invoices, supporting store-level operational needs, and assisting with routine maintenance and upkeep of infrastructure, equipment, and utilities.
This is a hands-on, coordination-heavy role suited to someone organized, responsive, and comfortable working acrossmultiple stakeholders and locations.
Skills & Qualifications
Bachelor's degree in any discipline; a background in facilities, operations, engineering, or business administration is a plus. Working knowledge of MS Excel (data entry, basic formulas, tracking sheets) — prior exposure to reporting tools is an advantage. Good communication and coordination skills to work with vendors, store teams, and internal stakeholders. Strong organizational skills with attention to detail, especially for ticket and invoice tracking. Ability to multitask and prioritize across multiple open tickets, invoices, and store requests. Willingness to travel locally/regionally to store locations as needed. A proactive, ownership-driven attitude with the ability to work under minimal supervision.
Key Responsibilities
Facility Ticket Management Log, track, and update facility tickets raised by stores and internal teams in the ticketing system. Ensure tickets are routed to the correct vendor/technician and follow up until closure within defined SLA timelines. Escalate ageing or high-priority tickets (e.g. breakdowns, safety issues) to the reporting manager promptly. Maintain accurate ticket records — issue description, resolution, turnaround time, and cost where applicable. Generate periodic ticket status reports and flag recurring issues by store or equipment type. Invoice Management Collect, verify, and process vendor invoices related to facility services, repairs, and maintenance. Cross-check invoice amounts against approved quotations, purchase orders, and completed work. Coordinate with vendors and the finance team to resolve invoice discrepancies and ensure timely payments. Maintain an organized invoice tracker with payment status, due dates, and vendor-wise spend. Support monthly/quarterly cost summaries for facility-related expenses. Store Support Act as the first point of contact for stores on facility-related queries and requirements. Coordinate with store managers/staff to understand and resolve on-ground operational issues. Assist with store readiness for launches, audits, or renovation activities. Support procurement and dispatch of consumables, spares, and facility-related supplies to stores. Conduct periodic store visits/checks (where required) to assess facility condition and compliance. Facility Operations & Maintenance Support execution of preventive maintenance schedules for equipment, electrical panels, AC, DG sets, and other infrastructure. Assist in coordinating breakdown maintenance and ensuring minimal downtime across locations. Maintain equipment logs, uptime records, and maintenance checklists. Support compliance with safety, housekeeping, and statutory facility requirements. Coordinate with AMC/service vendors for scheduled visits and service quality checks.
